New Course Registration System of ONCE (WKU)

Dear faculty and staff,
Our team has been working with IT to stand up an electronic document workflow to replace the paper Application for Course Adjusting form. The new paperless workflow is facilitated through the ONCE system. In addition to making the submission and approval process paperless the workflow also implements the automation of email notifications to students and approvers. Students and approvers will also have the ability to monitor the progress of the workflow at any time. The transparency of the workflow enables students to have a better expectation of when the whole process may be completed.
We are prepared to go live with the process on July 28th to take advantage of the leadup to the start of the Fall semester. However, students who submit a form between July 28th and August 16th will be required to acknowledge a pop-up message that says, “Faculty approvers are on summer leave through August 16th. Your request may not be acted upon until after that date.” As with any process change there is a potential of unforeseen hiccups, but we anticipate that we will see immediate efficiency gains with this implementation. We do recommend that you become familiar with the new course registration online workflow and prepare for the coming peak time of the registration cycle.
The course registration online workflow in the ONCE platform can be found at https://once.wku.edu.cn (Please log in with your WKU email address and password), and the detailed guide is attached for your reference.
Answers to some expected questions:
Q1: Who should I contact with problems:
A1: If you forget your WKU email address and password, please reach out to firstname.lastname@example.org. If the problem is technical, we suggest you email email@example.com and copy firstname.lastname@example.org. If the problem is related to the workflow design and any other queries, please email email@example.com.
Q2: What should I do if a student submits a paper form to me?
A2: Please ask them to submit on ONCE because the paper “Application for Course Adjusting” form is no longer considered valid.
Q3: Where do I direct students who want to submit a course registration request?
A3: We also send a notification email to students regarding the launch of the online workflow. If students come to you, please ask them to use ONCE - https://once.wku.edu.cn.

There was no attacched "Instruction" of the ONCE system.
Raised the issue of "Attributing the Course Adjustment Task" to Individual Instructors!
But no response, and the Office sent an attachment!
